Why on-premise

When the attendance data has to stay in the building

Some organisations cannot put attendance in someone else’s data centre, and some plants cannot depend on a working internet connection to record a shift. TimeMate on-premise is built for both.

Your server, your data

TimeMate runs on a standard Windows server inside your network. Attendance records, biometric templates and payroll hours sit in your own SQL Server database, under your backup policy and your access control.

Keeps running when the line does

A plant does not stop because the internet did. TimeMate and its terminals work on your LAN, so a WAN outage never stops a shift from being recorded.

Own it outright

Licensed perpetually rather than per user per month. Budget it as a one-time capital purchase with an annual support contract, the way plant equipment is bought.

Built on standard Microsoft infrastructure

A three-tier .NET application on Microsoft SQL Server. Nothing exotic to buy, nothing your IT team has not administered before, and small sites can run the free SQL Express edition.

Inside the application

The windows your time office actually works in

TimeMate on-premise is a Windows application, not a browser tab. This is the device manager that pushes templates to your terminals and collects their punches, the geofence that validates a mobile check-in, the roster you mark against a shift pattern, and the report module that turns a month of it into payroll input.

A punch outside the fence is rejected at the point of capture, not flagged for someone to chase at month end. The employee is told immediately, and the muster stays clean.

Time policies

Three ways to measure a working day

Most attendance software assumes a fixed shift. TimeMate ships with three time models, so a plant, a bank branch and a contract crew can run under one system without forcing any of them into the wrong shape.

Fixed time

Scheduled day shifts, night work and rotational duty.

For manufacturing, healthcare and any environment built around defined shifts. Attendance is measured against the shift the employee was rostered onto.

Flexible time

Fulfil the required hours in a day, however they fall.

For banks, insurance and office environments where the total hours worked is what matters, not the clock time they were worked at.

Contract time

Track actual hours given, with no fixed shift.

A simplified model for casual and contract workers who are never assigned to a pre-set shift or schedule. Compute only the hours actually worked.

Multi-location

Every site runs itself. Head office sees all of them.

A TimeMate box at each branch or plant handles that location on its own, covering in-punches, out-punches, late arrivals, early departures, leave, overtime, holidays and rosters, without waiting on a central server. Each site then syncs its attendance to the TimeMate server at your corporate head office, where it is consolidated for payroll and group MIS.

  • Sites keep recording attendance during a WAN outage
  • One consolidated attendance record at head office
  • Payroll processed centrally, from every location at once
  • Add a location without re-architecting the deployment

What ships in the box

Every module below is delivered and supported today, on installations running in the field.

Time office policy

Configure your organisation’s attendance rules once (cushion timings, grace periods, half-day and short-leave logic) and apply them across every site.

Shifts & duty rosters

Any number of shifts, with rotation patterns, weekly-off swaps and rosters assigned by department, designation, group or individual.

Real-time in & out

The TimeMate manager shows who is clocked in, clocked out, or on a break, as it happens rather than at month end.

Biometric & card devices

Fingerprint terminals, smart cards and access-control readers, including Suprema and Crossmatch hardware Intelliob integrates directly.

Attendance regularisation

Authorised staff correct hours and exceptions outside the set parameters, with every change recorded against the person who made it.

Overtime & incentives

Overtime policies, shift incentives and their calculations, configured per your agreements rather than a fixed formula.

Employee self-service

A web extension where staff view their own time logs, day-off details and outdoor duty, and submit regularisation requests.

Multi-location sync

A TimeMate box at each branch handles that site independently, then syncs attendance to the corporate server for consolidated processing.

Access control & audit

Per-user rights over what can be seen and changed, with an audit trail of changes to master data.

Notifications

Alerts on the things that need someone to act: missed punches, pending time-off requests, exceptions against policy.

63 built-in reports

Monthly, periodic, daily and per-employee reports, from muster roll and Form II to gate security logs and machine raw punch data.

Payroll-ready output

Feeds PayCare directly, or exports the standard time-attendance formats any payroll package accepts.

Frequently asked questions

Everything you need to know about running TimeMate on your own servers.

The same time and attendance capability, hosted differently. On-premise installs on a Windows server inside your own network, so attendance data never leaves your premises and the system keeps working when your internet does not. TimeMate Cloud is hosted by Intelliob, needs no server of your own, and is billed as a subscription. On-premise is licensed perpetually and quoted per deployment.
